Customer File Room before DSSG implementation

Financial Services

A metropolitan bank mailed more than 50,000 pages of statements monthly and kept only one copy to keep storage costs down. If a duplicate was ever needed, a lengthy request process with IT was initiated. Turnaround times were unacceptably slow and the bank began a search for a more efficient method to provide copies of statements on demand.

Now, statements are easily available via CD's and the bank's intranet to all its branches in seconds. The advantages are clear:

  • More efficient method for reproducing customer statements.
  • Faster customer response through faster turnaround of statement reprints.
  • Replacement of expensive paper warehouse storage with inexpensive CDs.
  • Internet access to statements for customer service representatives at branches.

Investment Holding Company: A holding company for a number of other businesses. As such, they have business records for multiple entities that they must access for control and audit purposes.  The client purchased an imaging system (at a substantial investment) from another vendor but was unable to make it work in their office. They had the proper tools, but no one to help them understand how to fit it into their work environment. After a year, DSSG was brought in.

We evaluated the existing configuration and determined it was appropriate for their needs. We then dictated a new setup specification for the existing vendor to meet and supervised that process. DSSG brought on a scanning service bureau who could scan their backlog of records and managed that process, including quality control on the scanning and the import functions.  Currently the records are being sent out in batches and DSSG has trained the staff to do the import themselves. The company is now planning to expand the imaging effort to encompass more of their operation.

A full service, independent broker-dealer, registered investment advisor (SEC) and insurance agency headquartered in Atlanta, GA., with independent financial advisors located throughout the country and the corporate headquarters processes all of the documentation relevant to operations, client accounts, products and services, commissions, and licensing requirements. DSSG provided a LaserFiche solution that is allowing them to streamline their document referral process and still remain compliant with SEC and NASD regulations.

A full service, registered financial investment advisor agency in Atlanta, GA. DSSG Information Services provided them with a solution to electronically process all of the documentation relevant to the financial registrations and client accounts. DSSG provided a LaserFiche solution that is allowing PPA to streamline their document processes while still remaining compliant in all regulatory requirements. The time required for them to do their audits has gone from a muti-day activity to one that can be completed in a few hours.

Real Estate

One company owns and manages apartment complexes in the greater Atlanta area. The central office processes and retains all accounting, human resource, and contract documentation from their main location. They were preparing for an acquisition phase to bring on additional properties and needed to implement a document imaging system to enable them to manage their workflow more efficiently, without the need to hire additional staff. DSSG delivered an affordable solution by providing not only backfile conversion services, but also installing a fully loaded imaging system including hardware, scanner, software, and customer training. DSSG delivered the backfile conversion of approximately 60,000 documents in under 4 weeks and the customer received their system with the backfile documentation incorporated into their new database. The imaging system has enabled them to move forward with their acquisitions and greatly improved their workflow issues.

Manufacturing/Wholesale Distribution

A large manufacturing company has 19 plants around the country. They process approximately 25,000 invoices a month through the accounts receivable department.  DSSG, with the assistance of Reams Computer Services of Newport News, Va, implemented a scanning and storage system to control their job files which includes five to seven document types. These are accessed by customer service agents at their desk to resolve credit inquiries. Previously the files were paper-based and required one person, full time, with substantial overtime to maintain the files. Access by customer service agents was manual and required callbacks to customers, resulting in "voice-mail tag" which is time consuming and expensive. The new system allows the customer service agents to resolve issues while the customer is on the phone, the same "file clerk" to cut her overtime so she is now home with her family at normal quitting time each day, and to improve her "job self image".  The department manager feels the system is a tremendous success. The CFO has stated that "the system has proven itself" and DSSG is now in the evaluation stages of implementing an expansion of the system in the Accounts Payable department.

A manufacturer in Atlanta provides residential builders and developers with products such as fireplaces, marble facings, appliances, and garage doors. As such, they needed an imaging infrastructure that would initially allow them to scan and index purchasing and accounts receivable documents (Purchase Orders, Pick Tickets, and Order entry (Control) tickets); and later be enlarged and adapted to the various needs of the other divisions in the company. DSSG provided a system that enabled the customer service representatives to have online documentation relating to each transaction. This allows the agents to resolve issues faster and more accurately with their customers, eliminate lost and misfiled documents, save time, money, and increase overall customer satisfaction.  Their parent company is presently working towards expanding the imaging system to their additional seven locations nationwide.

Transportation/Logistics

Systems Division of a Major Railroad

This railroad had used LaserFiche for its HR section and some isolated other scanning projects before DSSG was brought in.  The track maintenance division needed a solution to manage their truck log records for Department of Transportation compliancy requirements.  DSSG designed and implemented a solution using the existing LaserFiche installation and added Kofax Ascent for data extraction off of the logs to create an archive to meet their retention requirements. 

Non-Profits

Metro County Convention and Visitor’s Bureau;

The Convention and Visitor’s Bureau is funded in part by Hotel Occupancy tax funds from the local county.  As a joint effort between the county and the Bureau, DSSG designed and provided a solution including Kofax Ascent and LaserFiche to scan the monthly tax returns, extract data relating to occupancy and tax funds collected, and then report out the trends in an easy to reference format to document the return on investment the county is getting for its investment in the marketing programs.

Education

This Public School System has student records from the late 1930's through present day including both microfilm and imaged base records. The Manager in their Media services Department needed a system that could house all of the student records data.
